How to Handle a Washer Breakdown During Business Hours
A machine breaks down while customers are waiting. What you do in the next 10 minutes determines whether customers shrug it off or leave angry. Here's your response plan.
Immediate Response
Post an "Out of Order" sign on the machine immediately. If a customer's load is affected, address it directly: offer to move their load to a working machine and provide a free cycle. Speed and empathy matter more than the technical fix.
Quick Diagnostics
Check the obvious first: is the circuit breaker tripped? Is the water supply on? Is the drain clogged? Is the door fully latched? Is the coin mechanism or payment system accepting correctly? These simple checks clear a large share of apparent breakdowns in under 5 minutes; for anything past that, work through our commercial washer troubleshooting guide by brand and error code.
Customer Communication
If the machine is truly down, tell waiting customers honestly: "This machine is out of service. We have [X] other [size] machines available." Don't make promises about repair time you can't keep. If every machine of a particular size is occupied, offer to notify the customer when one becomes available.
Attendant Authority
Empower your attendants to give free cycles for genuine inconveniences. A $4 free wash costs you less than a bad Google review. Train attendants on the three things they can offer: free cycles on another machine, refunds for lost money, and sincere apologies. Don't make them call you for approval on every customer interaction.
Service Call Protocol
Have your technician's number posted and programmed in the attendant's phone. For non-emergency issues (machine doesn't spin, won't heat), schedule a next-day service call. For emergency issues (an active water leak, gas smell, electrical problem), call the technician immediately and take the machine fully offline.
Post-Breakdown Follow-Up
After the repair, test the machine through a full cycle before returning it to service. Update your maintenance log with the failure and repair details, in the same place you track your scheduled maintenance checklist. If the same machine breaks down repeatedly, it may be time for replacement rather than another repair.
