How to Handle Customer Complaints at Your Laundromat
Customer complaints are inevitable in any service business. How you handle them determines whether a frustrated customer becomes a loyal one or a lost one. Here's a practical framework for the most common laundromat complaints.
The Most Common Complaints
In order of frequency: clothes not getting clean, machine ate my money, someone took my clothes out of the machine, stains or damage to clothes, long wait times, and cleanliness issues. Each has a standard response; write it into your laundromat staff SOPs and train your attendants on all of them.
The 3-Step Response
Step 1: Listen without interrupting. Let the customer finish explaining the problem. Step 2: Acknowledge the frustration. "I understand that's frustrating" goes a long way. Step 3: Offer a solution. A free wash, a refund of the vend price, or a direct fix to the problem. The cost of a $4 free wash is nothing compared to the cost of a bad Google review.
"Clothes Not Getting Clean"
This is almost always a soap tray issue — wrong product in the wrong compartment, too little detergent, or clogged dispensing channels. Check the soap tray first. If it's gunked up, clean it and offer the customer a free re-wash. Then install a color-coded soap tray liner and labels on that machine to prevent recurrence.
"Machine Ate My Money"
Have a clear refund process. Keep small bills or a roll of quarters available for immediate refunds. Post a clear policy: unattended loads may be moved after the cycle completes if machines are in demand. Prevention Over Reaction
Most complaints can be prevented: clear signage prevents confusion, maintained machines prevent malfunctions, organized soap trays prevent wash quality issues, and visible attendant presence prevents conflicts. Invest in prevention — it's always cheaper than complaint resolution.
